Welcome to Russkinbox! We provide easy email tools to help businesses talk to their customers. Our service uses safe, high-quality computer systems to send your messages securely.

Your privacy is very important to us. This page explains what details we collect, how we use them, how we keep them safe, and your legal rights under privacy laws (like GDPR, UK GDPR, and CCPA/CPRA).

Important Words to Know

  • “We”, “Us”, or “Russkinbox”: Means our company, our website, and our email tool.
  • “You” or “Customer”: Means the business or person who opens an account with us to send emails.
  • “Subscriber”: Means anyone who receives emails sent by our customers through our platform.

Who Is in Charge of Your Data?

  • For Customer Account Information: Russkinbox is the Data Controller. This means we are in charge of the personal details you give us when you sign up, log in, and pay for your account.
  • For Subscriber Information: You (our customer) are the data controller for the email addresses and details you upload. Russkinbox acts as the data processor. This means we only use that data to send out your email campaigns for you. However, we will gladly help you if your subscribers ask to see their data. (See our Data Processing Agreement.)

Information We Collect

  • Information About You (Our Customer): Details you give us when signing up (like your name, business name, email, and phone number), payment details (handled safely by secure payment partners, so we never see your full card numbers) and computer details (such as your IP, web browser, device type, and login logs).
  • About Your Subscribers’ Information: Details you add to your contact lists (subscriber email addresses, names, and custom tags), as well as details about how people open your emails (such as open rates, link clicks, returned emails, spam reports, and IP addresses).

Legal Reasons for Using Data (GDPR)

If you live in the UK or Europe, we only use your personal details for clear legal reasons:

  • Contract Agreement: Because we need it to run your account and send your emails.
  • Legitimate Business Interests: Because it helps us block fraudsters, protect our computer network, and make our services better for you.
  • Legal Rules: Because we must follow official tax, accounting, and government laws.

Rules for Sending Emails & Anti-Spam

Big email companies (like Google and Yahoo) have strict rules that everyone must follow:

  • Permission-Based Lists Only: You must ask people for clear permission before you email them. Because of this, buying, renting, or taking email lists from third parties is strictly banned. (See our Anti-Spam Policy and Acceptable Use Policy.)
  • Easy Unsubscribe Links: Every email you send through Russkinbox must have a clear “Unsubscribe” button at the bottom. Additionally, it must support quick one-click unsubscribes. You must remove people who unsubscribe within 48 hours.
  • Automatic Block Lists: Our system automatically tracks returned emails and spam complaints. Therefore, any email address that bounces back or gets marked as spam is permanently blocked from future mailings. If your account gets too many bounces (over 5%) or spam complaints (over 0.1%), we may have to stop your account.

Cookies and Tracking Tools

  • Cookies: We use basic cookies to keep your account signed in safely, as well as functional cookies to remember your user settings. For further details, please see our Cookie Policy.
  • Tracking Pixels & Links (Open and click tracking): In order to show you useful reports, we put tiny invisible images (pixels) and special links inside outgoing emails. These tell you when people open messages or click links.

Sharing Data and Sub-processors

We do not sell, rent, trade, or share personal data or email lists with anyone for advertising.

However, we do share data with a few trusted service partners (sub-processors) so our platform can work properly:

  • Cloud & Email Infrastructure Providers: Safe data centres and delivery partners (such as Amazon Web Services / Amazon SES) who store your data securely and deliver your emails.
  • Payment Companies: Trusted partners who process your subscription payments safely.
  • Legal Requirements: Government bodies or courts, but only if the law strictly forces us to do so.

Sending Data Overseas and Security

Your information may be stored on safe computer servers located in other countries. When we transfer data out of the UK, Europe, or Switzerland, we use official legal agreements (Standard Contractual Clauses) so your data stays fully protected.

Furthermore, we use strong electronic and physical security systems. This includes TLS 1.3 protection while data is moving and AES-256 encryption while data is stored.

How Long We Keep Data & Your Rights

  • How Long We Keep Data: We keep your account details and subscriber lists for as long as your account stays open. But if you delete your account, we wipe your active files within 30 days. However, we keep unsubscribe and bounce lists forever so those people are never emailed by accident again.
  • Your Privacy Rights: Depending on where you live, you have the right to look at, fix, download, or delete your personal details.
  • Subscriber Requests: Subscribers who want to exercise their privacy rights must contact the customer (data controller) directly. But if a subscriber contacts us instead, we will simply pass the message on to you.

Changes to This Policy

We can likewise update this Privacy Policy from time to time. If we make big changes, we will let you know by sending an email or by showing a bright notice on our website before the changes start.
